This policy outlines what information we gather about you, our customers, how we use this information, to whom we may disclose the information to, how we safeguard your personal information and how you may get access to the information we may have about you.

Collecting Information:

CVRCO Railmiles Program: Customers who choose to join this program are eligible to receive many advantages, and in order to administer this program we are required to collect information about you so you may receive important information about the program, as well as special events and promotions. Our customers receive this information by e-mail, through the e-dispatcher. We collect information about our Railmiles customers such as name, address, telephone number and email address. We collect this information directly from the customer, either in person / over the telephone / by fax or e-mail. This information is kept in an electronic database for in-house use only. If you no longer choose to be a Railmiles Customer, your personal information will be removed from the system.

Special Orders: In order to serve our customers better, we offer a Special Order Service. If you don't see an item you want, we can make special arrangements to order it in for you. In order to do this, we need to collect you name and telephone number. We also require a deposit, and may accept that either in cash, which requires us to collect your name and telephone number or by credit card, which requires us to record your name, telephone number, name of the credit card, the credit card number and expiration date. This information is collected directly from the customer either in person, by telephone or by fax. The information is kept in a secure binder, where it can be safely accessed when you need to use this service. If you do not want your credit card information maintained in our secure binder, you can request that it be removed; however, you will have to provide it each time you wish to leave a deposit by credit card.

Layaway Orders: Again, in order to serve our customers better, we offer a Layaway Service. We will be pleased to hold item(s) for you and we require a minimum of 25% down payment, which can be made in cash or by credit card. If you are making a down payment by cash, we need to collect your name and telephone number. If making a down payment by credit card, we need to collect your name, telephone number, name of the credit card, the credit card number and expiration date. This information is collected directly from the customer, either in person, by telephone or by fax. This information is kept in a secure binder, where CVR staff can safely access it when you need to use this service. If you do not want your credit card information maintained in our secure binder, you can request that it be removed; however, you will have to provide it each time you wish to leave a deposit by credit card.

Mail Order Service: Again, in order to serve our customers better, we offer a Mail Order Service. If you make use of our mail order service, we are required to collect your name, address, telephone number. If you choose to pay be credit card, in addition to the above information, we need to collect your credit card number and expiration date. This information is kept in a secure binder, where is can be safely accessed by CVR staff to process your order when you need to use this service. If you do not want your credit card information maintained in our secure binder, you can request that it be removed; however, you will have to provide it each time you wish to make payment by credit card.

Consignment Services: If you have trains you no longer want, we can sell them on consignment for you. If you choose to use this service, we are required to collect your name and telephone number. This information is kept in a secure binder, where CVR staff may access it to provide you with this service. Once your item is sold, your personal information is kept in a secure file, for future government audit reference.

Appraisals and Estate Valuations: If you choose to access this service, we need to collect your name, address and telephone number in order to contact you once the appraisal is complete and to prepare any formal documentation that may be required concerning the value of the items appraised for estate purposes. A paper copy of any documentation is prepared and kept in a secure file for future reference.

Website Services: The Credit Valley Railway Company Ltd. Website provides a range of product and service information to our customers, including hours, location, special promotions, catalogue, etc. Our customers can also contact us by email through our Website. We do not collect technical data, including you IP address, domain, and web browser information. We do not request personal address or payment information through email, however, we assume no liability for any damages you may suffer as a result of interception, alteration or mis-use of information that is transmitted or collected over the Internet. You transmit or provide such information at your own risk.

Information Security:

CVR has reasonable, physical, electronic and managerial security measures in place to protect against the loss, misuse and interception by third parties of the information under our control. We will not disclose any personal information collected about you to anybody else, unless required to do so by law. If our business is sold, we may provide this information to the purchaser of our business. We will comply with all laws, which require us to supply the information to government agencies and others. We will not otherwise sell, transfer or trade any mailing list which includes your information.

Obtaining Your Consent:

By providing personal information to us, you are providing your consent to us to use it for the purposes set out above and disclosing it to the parties described above. If you do not want us to use any personal information about you, or wish to limit the use or disclose of such personal information by us, please contact by mail, fax or email.
